This Privacy Policy describes in detail how the Volunteer Management Information System (VMIS) ("we," "us," or "our") collects, uses, discloses, stores, and protects the information of individuals ("you," "your," or "user") who install, access, or use our mobile application ("App"). By using the App, you acknowledge that you have read, understood, and agree to the practices described in this Policy. If you do not agree with the terms of this Privacy Policy, you should discontinue use of the App immediately.
We are committed to protecting your privacy and handling your personal information with transparency, security, and respect. This Policy complies with applicable Ethiopian data protection regulations and aligns with international standards such as GDPR and global mobile platform requirements, including those of the Apple App Store and Google Play Store.
We collect personal information that you voluntarily provide when creating an account or interacting with the features of the App. This includes your full name, profile photograph, date of birth, gender, contact details such as email address and phone number, physical address, and additional profile attributes including your skills, qualifications, educational background, experience, availability, and preferred volunteer locations. We also collect detailed records about your volunteer activities, including your applications, hours served, achievements, and feedback.
In addition to the information you provide, the App automatically collects certain technical and behavioral data whenever you access or use it. This includes your device information (such as device type, operating system, and unique identifiers), IP address, log data, session duration, usage patterns, and location information where location-based features are enabled.
For organizations registering on the platform, we may collect verification documents and publicly available information to confirm legal status, identity, and eligibility to operate within the volunteer ecosystem.
Your personal information is used to support the full operation, functionality, and improvement of the App. Specifically, we use it to create and manage user accounts, verify identity, match volunteers with appropriate opportunities, enable communication between volunteers and organizations, track progress, measure impact, issue certificates, and provide customer support.
We also use your information to send notifications regarding volunteer opportunities, application updates, platform enhancements, and relevant alerts. Additionally, we analyze usage data to improve performance, enhance stability, and identify new features that can improve your experience. Where required, your information is processed to ensure legal compliance, protect user safety, and prevent fraudulent or unauthorized behavior.
We process your personal data based on your explicit consent, which you provide when registering and using the App; contractual necessity, as we must process your information to deliver the services offered; compliance with legal obligations; and legitimate interests, such as ensuring platform security and improving service delivery.
We may share certain personal information with registered Volunteer Host Organizations when you apply for volunteer opportunities. This includes your name, contact information, skills, qualifications, and relevant volunteer history. Limited profile information may also be visible to other volunteers to facilitate collaboration; however, you have the ability to adjust your visibility preferences.
We may also share personal information with government authorities when required by law, policy, or regulatory frameworks related to volunteer management systems. No information is shared with third-party advertisers, external marketing agencies, or unrelated commercial partners. We do not integrate third-party advertising SDKs or analytics tools that collect user data for commercial purposes.
In rare circumstances, we may disclose information to comply with legal obligations, protect our rights and property, prevent harm, or respond to lawful requests from public authorities.
We apply industry-standard technical and organizational security measures to safeguard your personal information. This includes encrypted data transmission, secure authentication mechanisms, controlled access privileges, regular system audits, data minimization practices, and internal confidentiality requirements for personnel with access to sensitive information. While we strive to ensure maximum protection, no system is completely immune to risks. Users are encouraged to maintain secure login credentials.
We retain your information only as long as needed to fulfill the purposes outlined in this Privacy Policy. Personal data associated with active accounts is retained throughout your use of the App. If an account is deleted or becomes inactive, we may continue to retain certain records for up to seven years to meet reporting and compliance obligations. After this period, or when retention is no longer necessary, data is permanently deleted unless required otherwise by law.
You have the right to request access to your personal data, request corrections, request deletion, object to certain types of processing, restrict processing, or request a portable copy of your information. You may also withdraw your consent at any time, though doing so may limit your ability to continue using the App.
To exercise any of these rights, you may contact us through the contact details provided at the end of this document.
You can delete your account and all associated personal data at any time. For detailed instructions on how to delete your account, please visit our Account Deletion page.
The App is intended for individuals aged fifteen (15) and above. Users under the age of eighteen (18) must have verified parental or guardian consent. We take additional measures to protect minors by limiting data visibility and ensuring organizations adhere to safeguarding policies.
Your information is primarily stored and processed within Ethiopia. In the event that data must be transferred outside the country, such transfers are carried out with appropriate legal and technical safeguards to ensure continued protection.
The App uses essential cookies and similar technologies to support secure authentication, maintain sessions, and enhance user experience. We do not use advertising cookies, behavioral tracking tools, or third-party data collection technologies.
We may revise this Privacy Policy from time to time to reflect updates in regulatory requirements, technology improvements, or functional changes in the App. When significant revisions occur, we notify users through the App or via email.
